Text watermarks can label a document as “Confidential,” “Draft,” “Sample,” or “For Client Use Only,” reducing the risk of misuse or distribution without context. The tool places the watermark in the foreground, so it remains visible even when a scanned PDF page consists of a full-page image. Enter text in Chinese or English, choose a position from a 3 × 3 grid, and adjust the opacity, rotation angle, font size, color, and page range.
Watermarks can indicate a document’s purpose or source, but they do not control access. Anyone with the file may still take screenshots, recreate pages, or alter the content using specialized software. To restrict opening, printing, or copying, use PDF encryption and permission settings as well. If the document requires a verifiable signature, add the watermark before applying the digital signature.

A centered watermark rotated 30° to 45° works well for labels such as “Confidential” or “Sample.” Smaller text at the bottom or in the upper-right corner is better for department names, dates, and source details. Start with 20% to 30% opacity so the watermark is visible without obscuring the document. Gray works well on light pages, while dark scanned pages may require greater contrast. Match the font size to the page dimensions: 36 is a common starting point for A4 pages, while receipts and smaller pages usually need a smaller size.
Leave the page range blank to apply the watermark to every page. To exclude the cover, enter a range starting at 2 and ending with the actual last page number. Page ranges must use specific page numbers and continuous ranges; text such as “odd pages” is not accepted. After downloading the result, review light, dark, image-heavy, and table-based pages to ensure the watermark does not cover signatures, QR codes, amounts, or key terms.

When sending a contract for external review, include the recipient’s short name and the intended purpose. Mark design files as “Preview” before delivery to discourage unauthorized use. Internal training materials can display the department and confidentiality level, while copies of supporting documents can state the specific purpose for which they may be used. If several PDFs need the same watermark, upload them in a batch and download each processed file for consistent document management.
If each recipient needs different text, process the files separately to avoid using the wrong client name. A watermark that is too dense or dark can reduce readability and print quality, while one that is too faint may be hard to see on a dim screen. For important documents, review the result in a commonly used PDF reader, on a phone, and in print preview.

Adding a watermark modifies the PDF and will usually invalidate any existing digital signature. Apply the watermark first, then complete the formal signing process. Adding purpose-specific text to copies of IDs, certificates, or contracts can clarify their permitted use, but it does not replace your organization’s redaction, authorization, or audit procedures. Do not assume that covering sensitive information with a watermark removes the underlying content; use a proper PDF redaction tool when information must be permanently removed.
The processing service creates a temporary output file. If the document contains personal information or trade secrets, share the download link with care. Always keep the original unwatermarked file, and record who received each watermarked version and when. Font rendering may vary between PDF readers, so confirm that every character appears correctly before delivery. Names, employee IDs, and order numbers included in watermark text are also sensitive information; do not forward the same version to unrelated recipients.
A watermark does not prove that a document has remained unchanged, nor does it replace an electronic signature or seal. If you need an audit trail, also record the file hash, delivery channel, and time received. For documents that will be printed in black and white, print a sample page first to confirm that the watermark remains legible in grayscale.
